  • Write personal emails – write to your reader and treat everyone as an individual customer – as if they’re the only person you’re emailing – maybe call them by their name in emails.
  • Friendly, informal approach – act like a human; have a conversation with your reader first before leading on into the sales pitch, so that the reader won’t think you are just focusing on getting a sale – focus on the words you’d use as if you were talking face-to-face with the person.
  • Make the ‘From’ sender your name – this makes your email more credible, gets your name out there as a point-of-contact, adds a personal touch and reassures people that they’re talking to a person behind the computer, not an automated email robot!
  • Email only when you have something worthwhile saying – emailing too much puts people off – they might even just delete your email without reading it if they think that they receive your emails too often and find them annoying – or not pay attention to the emails with valuable relevant content – or worse, your email could be transferred to junk mail – resulting in a lost customer.

  • Do your research! Why not see what other company email alerts offer and how their audience(s) perceive them? Watch what they do and how they word things and learn from them!
  • Draw people in by your choice of words – emotional and sensory words usually work best, as they make people feel empathy. You could try using these words in the subject line of your email.
  • Why not try something new? Something that your readers aren’t used to you doing – this will capture their attention. Also, creating new concepts helps you see what works well and what doesn’t.

Tips on how to write great, engaging emails:

  • Write interesting content – would you want to read this email? Is it appealing to your audience? What is the main thing you are trying to convey? Are your sentences and use of punctuation and grammar relatable?
  • Keep sentences short to keep readers interested.
  • Paragraphing is key – break it up into shorter paragraphs instead of having one huge block of text – it makes the text easier for the reader to digest.
  • Be enthusiastic and positive about what you’re writing – readers will pick up on this.
  • Make sure your emails are mobile-optimised! Think about how your email will look on all devices, for example, computers, laptops, mobile phones and tablets. There’s nothing more off-putting and annoying than reading an email where you have to keep re-adjusting the text so that you can read the email or view the image. Readers are then more likely to think that it’s too much hassle to read what you have to say, regardless of the content!
  • Show your readers that you genuinely care and that you have their best interests at heart.
  • Make it easy for people to take action after reading your emails. Have a clear, visible call-to-action button; perhaps make these stand out and make these buttons colourful!
